The terms "we", "us" and "Company" refers to Trade Fair Services, referred to here after as TFS, its affiliates and/or their respective suppliers and providers, and "you" refers to the customer booking a reservation though us directly through this website, or indirectly through any of our affiliates through whom we provide services.

All reservations you book through us are subject to the following terms, conditions and notices as they exist at the time the reservation is made. We reserve the right to change these terms, conditions and notices and you agree to accept and be bound by the terms, conditions and notices that are in effect at the time of your use of our website and facilities.

PERSONAL AND NONCOMMERCIAL USE LIMITATION

This website is for your personal and noncommercial use. The content and information on this website (including, without limitation, price and availability of travel services), as well as the infrastructure used to provide such content and information, is proprietary to TFS. Accordingly, as a condition of using this website, you agree not to use this website or its contents or information for any commercial or non-personal purpose (direct or indirect). While you may make limited copies of your travel itinerary (and related documents) for travel or services purchased through this website, you agree not to modify, copy, distribute, transmit, display, perform, reproduce, publish, license, create derivative works from, transfer, or sell or re-sell any information, software, products, or services obtained from this website. In addition, whether or not you have a commercial purpose, you agree not to:

- access, monitor or copy any content or information of this website using any robot, spider, scraper or other automated means or any manual process for any purpose without express written permission of TFS;
- violate the restrictions in any robot exclusion headers on this website or bypass or circumvent other measures employed to prevent or limit access to this website;
- take any action that imposes, or may impose, in the discretion of TFS, an unreasonable or disproportionately large load on the TFS, infrastructure; or
- deep-link to any portion of this website (including, without limitation, the purchase path for any travel services) for any purpose without express written permission of TFS.

TERMS, CONDITIONS AND WARRANTIES OF SERVICE

1. Making a Booking

This website is intended only as an invitation to treat, and is not an offer by us. Any booking made by you shall be deemed to be an offer by you which we may, at our choice, accept. No contract shall exist until full payment is received and the booking is confirmed to you. All rooms and prices on the website are subject to availability.

2. Use of Site

2.1 You may only use the website to make legitimate enquiries or bookings.

2.2 You will not make any speculative, false or fraudulent bookings or any booking in anticipation of demand. If we are reasonably of the opinion that such a booking has been made we shall be entitled to cancel the booking and inform the relevant authorities.

2.3 You also undertake to provide correct and accurate e-mail, postal and/or other contact details to us and acknowledge that we may use these details to contact you in the event that this should prove necessary (see our Privacy Policy).

2.4 If you do not give us all of the information that we need, we may not be able to complete your booking.

 

3. Vouchers / Booking Confirmation

3.1 You must present your booking confirmation details to the hotel upon arrival as they are proof of pre-payment.

3.2 It is your responsibility to check the confirmation and ensure that all of the details are correct. Accommodation will only be provided in accordance with the details in the confirmation. Where the details on the confirmation are not correct, you should contact us prior to travel at info@tradefairservices.com.

3.3 It is also your responsibility to ensure the accuracy of the information you input into the enquiry screen before you complete the booking. If you make a mistake, we will try to correct the booking details but provide no guarantee that this will be possible. The cost of the service requested may vary on amendment of the details and if so you will have to pay these in addition. A new confirmation email will be sent to you. If the new details do not suit you, you may cancel your booking in accordance with Section 5 of these Terms.

 

4. Prices and Payment

Payment for the services requested must be paid in full, by credit or debit card, on-line at the time of booking. We try to stipulate prices accurately and all inclusively, but the prices are subject to change. For example if there are any increases in sales tax or the like, then we reserve the right to pass these on.

 

5. Cancellation and Amendment

Cancellations:

5.1 Cancellations to confirmed bookings are subject to the following conditions per booking:

5.1.1 Cancellations made more than 3 months in advance will incur a 25.00 EUR charge per room booked.

5.1.2 Cancellations made between three months and fourteen days prior to your stay will incur the charge for the first night's accommodation per room and per hotel. If your booking is for a one night stay only, a one night cancellation charge per room still applies and therefore you will not be entitled to any refund.

5.1.3 Cancellations made within 14 days of your stay will incur full cost and be fully non-refundable.

5.1.4 Where cancellation applies to multiple room bookings the cancellation fees apply for each room booked, whether in one or more hotels.

5.1.5 Any refunds that are processed to the client via wire transfer or credit card will incur a 25.00 EUR administrative processing fee.

5.1.6 Unless booked through TFS, we shall not be responsible for your transportation to or from the hotel. Cancellation charges will still apply if you are unable to travel to the hotel due to such circumstances.

 

 

Special Conditions

If Special Conditions appear on your booking this indicated that the booking is fully non refundable. Any amendments or cancellations may incur full charges. Special conditions can be attached to all types of bookings i.e. Hotels, Apartments, Transfers, sightseeing etc.

 

Changes:

 

5.2 Changes to confirmed bookings are subject to the following conditions per room booking:

5.2.1 Changes made within 14 days of your stay will incur the full cost of the booking and therefore you will not be entitled to any refund.

5.2.2 Any other changes will incur a 25.00 EUR charge per booking or relevant currency equivalent.

5.3 Busy Periods

5.3.1 These are periods when fairs, exhibitions, conferences etc are taking place at the location where you have chosen accommodation, or when there is a high demand for accommodation.

5.3.2 Cancellation at any time of a stay falling within a busy period is not refundable.

5.3.3 Any amendments to confirmed bookings falling within a busy period will be treated as cancellations and will not be refundable. The only exceptions to this will be where additional rooms/beds/cots/nights are added to existing confirmed rooms or nights.

5.3.4 Bookings in hotels during busy periods are kept and guaranteed until 6 pm on the day of arrival. After 6 pm the hotel can release the booking as a "no-show" if late arrival has not been specified before. Trade Fair Services cannot take responsibility for unreported late arrivals and any issues arising thereof.

5.3.5 Unless otherwise specified any reservation will be considered with the standard check in, and the hotel's policy on check in time will apply. Please inform your reservation agent of any changes in the arrival time.

 

 

 

5.4 All sightseeing tours, transfers and non-accommodation services are non refundable.

 

6. Star Ratings and Quality of Accommodation

The application of star ratings may vary in quality from country to country and should not be relied upon alone to indicate the quality of the accommodation. The type of rooms provided by a hotel (such as single, double,) may also vary from country to country. It is up to you to independently check that the type of the accommodation and services provided by each hotel meet your needs. An example of each room time is outlined below and these are guidelines only.

 

Twin room

Accommodation for two adults in a room with two beds. Bed sizes for this room type are usually "twin" or "full" in European hotels and "queen" in American, Asian, and Australian hotels.

 

Double room

Accommodation for two adults in a room with one bed. Alternatively two beds made up as one.

 

Single room

Accommodation for one adult in a room with one bed.

 

Triple room

Accommodation for three adults in a room with two or three beds. Bed sizes and arrangements may vary. A Triple room does not guarantee three separate beds. One bed may be a roll-away bed.

 

Twin room for sole use

Accommodation for one adult in a room with one or two beds. This room type is suitable for accommodation one person only.

 

Quad room

Accommodation for four adults in a room with two, three or four beds. Arrangement of beds may vary considerably.

 

Twin/Double + child

Twin or Double room with an extra bed suitable for a child aged between 2 - 18 years. However, some hotels will not provide a child bed for children over 12 years.

 

Cot/cradle or crib

Suitable for a child under the age of 2 years.

 

No Facilities

Rooms with no facilities do not have en-suite bathroom or W.C. Trade Fair Services does not endorse or recommend any particular hotel, nor will we be necessarily aware of any building work inside or outside the hotel.

 

7. Accuracy of Information

The hotel information and listings are compiled from information provided by the hotels. We publish such information in good faith, based on the information provided. We have taken reasonable care to ensure that the content of the website including all hotel information and listings are accurate and up-to-date. As such, we cannot be responsible for inaccuracies, errors, omissions or misleading information contained in the hotel listings or information.

 

8. Unavailability

In the event of a confirmed booking becoming unavailable, we will endeavour to offer an alternative hotel at an equivalent standard and price in the same general location. If no such alternative is available we shall refund the cost of your original booking with TFS to you. Otherwise you may exercise your right of cancellation as set out above in Clause 5. We will also endeavour to contact you in advance and advise of this unavailability. However, where it is not possible to contact you in advance we shall endeavour to ensure that the relevant hotel looks after any change of accommodation as quickly and efficiently as possible.

 

9. Complaints

Any complaint regarding the hotel must be notified to the hotel reception desk or to the relevant hotel representative during your stay at the hotel and the hotel management must be given adequate opportunity to rectify the situation. If you fail to get satisfaction from the hotel please contact us at info@tradefairservices.com. However we can not guarantee nor do we take responsibility for the standard of accommodation.

TRAVEL DESTINATIONS

Although most travel, including travel to international destinations, is completed without incident, travel to certain destinations may involve greater risk than others. TFS, urges passengers to review travel prohibitions, warnings, announcements and advisories issued by the national government prior to booking travel to international destinations.

By offering for sale, travel to a particular destination, TFS does not warrant that travel is without risk or advisable. The decision to travel rests totally with the customer. TFS is not liable for any damages.

LIABILITY DISCLAIMER

The information, software, products and services published on this website may include inaccuracies or typographical errors. In particular, TFS, does not guarantee the accuracy of and disclaims liability for inaccuracies relating to hotel and other supplier photographs, hotel property, cruise, automobile and other product descriptions and lists of hotel amenities and other product descriptions displayed on this website, much of which information is provided by the respective suppliers. Hotel ratings displayed on this website are intended as only general guidelines and RTS, does not guarantee the accuracy of the ratings. Changes are periodically added to the information herein. TFS, may make improvements and/or amendments to this website at any time.

In no event shall TFS be liable for any direct, indirect, punitive, incidental, special, or consequential damages arising out of or in any way connected with the use of this website or with the delay or inability to use this website or for any information, software, products and services obtained through this website or otherwise arising out of the use of this website, whether based on contract, tort, strict liability, or otherwise, even if TFS has been advised of the possibility of damages.

INDEMNIFICATION

You agree to defend and indemnify the Company, its affiliates, and/or their respective suppliers and any of their officers, directors, employees and agents from and against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties or other costs or expenses of any kind or nature including but not limited to reasonable legal and accounting fees, brought by:

By using this website or booking a reservation through us you agree that the internal laws of the Republic of Ireland, without regard to the principles of conflicts of laws, will govern this agreement and any dispute of any kind that arises between you and the Company or its affiliates. You hereby agree that any dispute arising from or relating to the use of this website or hotel reservations made through us may, if not amicably resolved, be resolved only through binding arbitration between you and us under the commercial rules of the Irish courts. This arbitration, shall not involve other customers, be combined with separate arbitrations involving other customers, or proceed as any type or form of class action in which the claims of similarly-situated customers are pursued together. Use of this website is unauthorized in any jurisdiction that does not give effect to all provisions of this agreement, including, but not limited, to this paragraph. We reserve the right to comply with law enforcement requests or requirements relating to your use of this website or information provided to or gathered by the Company with respect to your use of this website. If any provision of this agreement is determined to be invalid or unenforceable pursuant to applicable law by any court of competent jurisdiction, the other provisions of this agreement will remain in full force and effect.

You agree that no joint venture, partnership, employment, or agency relationship exists between you and the Company as a result of this agreement or use of this website.

We reserve the right to comply with law enforcement requests or requirements relating to your use of this website or information provided to or gathered by the Company with respect to your use of this website.

You warrant that you are at least 18 years of age and possess the legal authority to enter into this agreement and to use this website in accordance with all terms and conditions herein. You agree to be financially responsible for all of your use of this website (as well as for use of your account by others, including, without limitation, minors living with you). You agree to supervise all usage of this website by minors under your name or account. You also warrant that all information supplied by you or members of your household in using this website is true and accurate. Without limitation, any speculative, false, or fraudulent reservation or any reservation in anticipation of demand is prohibited. You agree that the travel services reservations facilities of this website shall be used only to make legitimate reservations or purchases for you or for another person for whom you are legally authorized to act. You understand that overuse or abuse of the travel services reservation facilities of this website may result in you being denied access to such facilities.

Separate terms and conditions will apply to your reservation and purchase of travel-related goods and services that you select. You agree to abide by the terms or conditions of purchase imposed by any supplier with whom you elect to deal, including, but not limited to, payment of all amounts when due and compliance with the supplier's rules and restrictions regarding availability and use of fares, products, or services. You understand that any violation of any such supplier’s conditions of purchase may result in cancellation of your reservation(s) or purchase, in your being denied access to any flights, hotels, or automobiles, in your forfeiting any monies paid for such reservation(s) or purchase, and in TFS, debiting your account for any costs TFS, incurs as a result of such violation. You shall be completely responsible for all charges, fees, duties, taxes, and assessments arising out of the use of this website.

Currency rates are based on various publicly available sources and should be used as guidelines only. Rates are not verified as accurate, and actual rates may vary. Currency quotes are not updated every day. Check the date on the Currency Converter for the day that currency was last updated. The information supplied by this application is believed to be accurate, but TFS, does not warrant or guarantee such accuracy. When using this information for any financial purpose, TFS, advises the customer to consult a qualified professional to verify the accuracy of the currency rates. TFS, does not authorize the use of this information for any purpose other than personal use and prohibit to the maximum extent allowable the resale, redistribution, and use of this information for commercial purposes.

TERMS AND CONDITIONS OF CARRIAGE

When ordering TFS services you, as “Shipper”, are agreeing, on your behalf and on behalf of anyone else with an interest in the Shipment, that the Terms and Conditions shall apply from the time that TFS accepts the Shipment. Your statutory rights and entitlements under any defined service feature (for which additional payment has been made) are not affected.

“Shipment” means all documents or parcels that travel under one waybill and which may be carried by any means TFS chooses, including air, road or any other carrier. Every Shipment is transported on a limited liability basis as provided herein. If Shipper requires greater protection, then insurance may be arranged at an additional cost. (Please see below for further information). “TFS”means Trade Fair Service Ltd.

 

1. Customs, Exports and Imports

TFS may perform any of the following activities on Shipper’s behalf in order to provide its services to Shipper: (1) complete any documents, amend product or service codes, and pay any duties or taxes required under applicable laws and regulations, (2) act as Shipper’s forwarding agent for customs and export control purposes and as Receiver solely for the purpose of designating a customs broker to perform customs clearance and entry and (3) redirect the Shipment to Receiver’s import broker or other address upon request by any person who TFS believes in its reasonable opinion to be authorised.

 

2. Unacceptable Shipments

Shipper agrees that its Shipment is acceptable for transportation and is deemed unacceptable if:

• it is classified as hazardous material, dangerous goods, prohibited or restricted articles by IATA (International Air Transport Association), ICAO (International Civil Aviation Organisation), any applicable government department or other relevant organisation;
• no customs declaration is made when required by applicable customs regulations; or
• TFS decides it cannot transport an item safely or legally (such items include but are not limited to: animals, bullion, currency, bearer form negotiable instruments, precious metals and stones, firearms, parts thereof and ammunition, human remains, pornography and illegal narcotics/drugs).

 

3. Deliveries & Undeliverable:

Shipments cannot be delivered to PO Boxes or postal codes. Shipments are delivered to the Receiver’s address given by Shipper (which in the case of mail services shall be deemed to be the first receiving postal service) but not necessarily to the named Receiver personally. Shipments to addresses with a central receiving area will be delivered to that area. If Receiver refuses delivery or to pay for delivery, or the Shipment is deemed to be unacceptable, or it has been undervalued for customs purposes, or Receiver cannot be reasonably identified or located, TFS shall use reasonable efforts to return the Shipment to Shipper at Shipper’s cost failing which the Shipment may be released, disposed of or sold by TFS without incurring any liability whatsoever to Shipper or anyone else, with the proceeds applied against service charges and related administrative costs and the balance of the proceeds of a sale to be returned to Shipper.

 

4. Inspection

TFS has the right to open and inspect a Shipment without prior notice to Shipper.

 

5. Shipment Charges & Billing

TFS Shipment charges are calculated according to the higher of actual or volumetric weight and any Shipment may be re-weighed and re-measured by TFS to confirm this calculation. Shipper shall pay or reimburse TFS for all Shipment charges, storage charges, duties and taxes owed for services provided by TFS or incurred by TFS on Shipper’s or Receiver’s or any third party’s behalf and all claims, damages, fines and expenses incurred if the Shipment is deemed unacceptable for transport as described in Section 2.

 

6. TFS’s Liability

TFS contracts with Shipper on the basis that TFS’ liability is strictly limited to direct loss only and to the per kilo/Ib limits in this Section 6. All other types of loss or damage are excluded (including but not limited to lost profits, income, interest, future business), whether such loss or damage is special or indirect, and even if the risk of such loss or damage was brought to TFS’ attention before or after acceptance of the Shipment since special risks can be insured by Shipper. If a Shipment combines carriage by air, road or other mode of transport, it shall be presumed that any loss or damage occurred during the air period of such carriage unless proven otherwise. TFS’ liability in respect of any one Shipment transported, without prejudice to Sections 7-11, is limited to its actual cash value and shall not exceed the greater of $US 100 or:

• $US 20.00/kilogram or $US 9.07/lb for Shipments transported by air or other non-road mode of transportation; or
• $US 10.00/kilogram or $US 4.54/lb for Shipments transported by road (not applicable to the US).

 

Claims are limited to one claim per Shipment settlement of which will be full and final settlement for all loss or damage in connection therewith. If Shipper regards these limits as insufficient it must make a special declaration of value and request insurance as described in Clause 8 (Shipment Insurance) or make its own insurance arrangements, failing which Shipper assumes all risks of loss or damage.

 

7. Time Limits for Claims

All claims must be submitted in writing to TFS within thirty (30) days from the date that TFS accepted the Shipment failing which TFS shall have no liability whatsoever.

 

8. Shipment Insurance

TFS can arrange insurance for Shipper covering the actual cash value in respect of loss of or physical damage to the Shipment. Shipment insurance does not cover indirect loss or damage, or loss or damage caused by delays.

 

9. Delayed Shipments

TFS will make every reasonable effort to deliver the Shipment according regular delivery schedules, but these are not guaranteed and do not form part of the contract. TFS is not liable for any damages or loss caused by delays.

 

10. Circumstances beyond TFS’ control

TFS is not liable for any loss or damage arising out of circumstances beyond TFS’ control. These include but are not limited to: “Act of God” - e.g. earthquake, cyclone, storm, flood, fog; “Force Majeure” - e.g. war, plane crash or embargo; any defect or characteristic related to the nature of the Shipment, even if known to TFS; riot or civil commotion; any action or omission by a person not employed or contracted by TFS e.g. Shipper, Receiver, third party, Customs or other Government official; industrial action; and electrical or magnetic damage to, or erasure of, electronic or photographic images, data or recordings.

 

11. Warsaw Convention

If the Shipment is transported by air and involves an ultimate destination or stop in a country other than the country of departure, the Warsaw Convention (“Warsaw”), if applicable, governs and in most cases limits TFS’ liability for loss or damage.

 

12. Shipper’s Warranties and Indemnity

Shipper shall indemnify and hold TFS harmless for any loss or damage arising out of Shipper’s failure to comply with any applicable laws or regulations and for Shipper’s breach of the following warranties and representations:

• all information provided by Shipper or its representatives is complete and accurate;
• the Shipment was prepared in secure premises by Shipper’s employees;
• Shipper employed reliable staff to prepare the Shipment;
• Shipper protected the Shipment against unauthorised interference during preparation, storage and transportation to TFS;
• the Shipment is properly marked and addressed and packed to ensure safe transportation with ordinary care in handling;
• all applicable customs, import, export and other laws and regulations have been complied with; and
• the waybill has been signed by Shipper’s authorised representative and the Terms and Conditions constitute binding and enforceable obligations of Shipper.

13. Routing

Shipper agrees to all routing and diversion, including the possibility that the Shipment may be carried via intermediate stopping places.

 

14. Governing Law

Any dispute arising under or in any way connected with these Terms and Conditions shall be subject, for the benefit of TFS, to the non-exclusive jurisdiction of the courts of, and governed by the law of, the country of origin of the Shipment and Shipper irrevocably submits to such jurisdiction, unless contrary to applicable law.

 

15. Severability

The invalidity or unenforceability of any provision shall not affect any other part of these Terms and Conditions.

USE OF CLIENT’S CONTACT INFORMATION

You agree and consent that we may use your contact information (i.e. e-mail, postal address and/or other contact details) in order to contact you in the event of a problem with the booking. Please see further, our Privacy Policy.

USE OF THE WEBSITE

You agree not to upload, post, email, transmit or otherwise make available any content that is unlawful, harmful, threatening, abusive, harassing, tort, defamatory, vulgar, obscene, libelous, invasive of another’s privacy, hateful or racially, ethnically or otherwise objectionable.

ASSIGNMENT

These terms and the agreement are between you and us. You are not entitled to assign or delegate your rights under them.

INTELLECTUAL PROPERTY

All intellectual property and information on this site is ours or is licensed to us and you shall not copy these without our permission. This does not prevent you using this website to the extent necessary to make a copy of any booking details.

AMMENDMENT OF THE TERMS

Each time you use this website you will be bound by the then current terms and you should review these each time you make a booking to satisfy yourself that you are happy with them.

SEVERABILITY

These terms shall be deemed severable. In the event that any provision is determined to be unenforceable or invalid, such provision shall nonetheless be enforced to the fullest extent permitted by applicable law and such determination shall not effect the validity and enforceability of any other remaining provisions.

Third Parties - FOR CUSTOMERS BASED IN THE UK ONLY

A person who is not a party to this Agreement has no right under the Contracts (Rights of Third Parties) Act 1999 to rely upon or enforce any term of this Agreement, but this does not affect any right or remedy of a third party which exists or is available apart from the Act.

HEADINGS

The headings used in these Terms and Conditions are included for convenience only and shall not define, extend, limit or otherwise affect these Terms and Conditions.

ENTIRE AGREEMENT

These terms constitute a binding agreement between us and you should read them carefully and ensure they contain everything you want and nothing you are not prepared to agree to.

GOVERNING LAW

These Terms are subject to Irish Law and you hereby submit to the exclusive jurisdiction of the Courts of the Republic of Ireland.
